The aim of the project is to transfer to our Office
responsibility for accurate HR and payroll administration. These changes are intended to
result in a long-term in improved efficiency of processes supporting Your core
business.
The
main task of our Office is HR and payroll administration, preparation of
monthly tax returns and social insurance statements as well as management
reports. Data obtained from the
payroll records will enable You to take decisions affecting operations of Your
Company.
Our approach
We initiate the project by taking over Your HR and
payroll records and obtaining necessary information on Your Company at the
implementation stage. Performance of this stage is a condition for efficient
and effective implementation of subsequent works. The service consisting in
ongoing HR and payroll administration will be rendered in monthly cycles and
cover the widest scope of performed works. Whereas the annual cycle of
cooperation will be summed up by annual tax returns and information as well as
social insurance statements prepared by our Office.
Scope of services
1. HR outsourcing involves the following tasks:
keeping and managing employees' personnel files;
keeping records of employees' leaves as well as
determining length and limits of leaves, keeping records of other
absences;
controlling the end dates of employment
contracts, validity of periodic examinations and OHS trainings;
issuing employment separation certificates.
2. Payroll administration involves the following
tasks:
drawing up payroll once a month, i.e. calculating
remuneration for persons employed on the basis of employment contracts,
resolutions and civil law contracts;
transferring remuneration and regulatory
liabilities related to remuneration from the sub-account kept by our
Office for Your Company;
preparing monthly information for each employee
on payable remuneration and deductions made as well as sending pay slips
to employees;
calculating regulatory liabilities related to
remuneration and drawing up statements for the Social Insurance
Institution (ZUS) and the State Fund for Rehabilitation of the Disabled
(PFRON);
preparing information for the accounting
department in the form of a collective payroll taking into account
management information needs agreed with the Client;
submitting to and deregistering from the Social
Insurance Institution employees, contractors and payers, as well as
notifying any changes in their data;
issuing certificates of earnings;
preparing annually the following documents:
PIT-11, PIT-40, PIT-4R, PIT-8AR, PIT-8C, ZUS IWA.
